How to Hire a Stage for an Event

Plan the stage size, site access, working space, event schedule and technical requirements before requesting a final quote.

Start with the information that determines whether the stage fits the event.

This guide is for councils, schools, community organisations, event companies and outdoor-event organisers comparing mobile stage hire. Accurate site and schedule information makes the initial price more useful and helps identify access issues early.

Stage size and footprint

Choose the stage from the programme and the space that is genuinely available.

The 8m x 4m configuration is useful where the site or programme is smaller, including school events, community programmes and compact town-centre sites. The 8m x 6m configuration provides more performance space for festivals, larger line-ups and events with a broader programme.

The stage dimensions are not the complete working footprint. Leave room for the towing vehicle to position the trailer, for the setup team to work, for any PA wings or stage extensions, and for barriers, audience routes and technical positions.

Access and ground

Check the complete vehicle route, not only the final stage position.

Vehicle access and turning

Confirm gate widths, tight turns, gradients, overhead branches or cables, weight restrictions and enough room for the tow vehicle to approach and leave safely. Site plans and current photographs are valuable.

Ground conditions

The route and stage position need suitable ground. Identify soft ground, slopes, kerbs, drainage covers or areas that may change after wet weather, then agree any ground protection or alternative position before arrival.

Audience and barriers

Plan the audience-facing position together with front-of-stage barriers, emergency routes, accessible viewing, exits and any technical control position. Keep public routes separate from the setup working area.

Available working footprint

Measure the clear area rather than relying on a map estimate. Account for trees, street furniture, stalls, fencing, other suppliers and the space needed to deploy and recover the trailer stage.

Schedule and technical requirements

Make delivery, production and collection part of one event timetable.

Delivery restrictions

Provide the earliest site-access time, security or loading procedures, public opening time and any restrictions on vehicle movement. Allow the stage setup to finish before performers and other suppliers need the same space.

Collection restrictions

Collection needs a clear route after the event. Include curfews, road closures, audience dispersal, security handover and the time at which separately supplied production equipment will be clear of the stage.

PA, lighting and video

These items are not automatically included with the base stage. Share the audience size, programme, performance inputs, show times and creative requirements so suitable equipment and technical support can be quoted separately.

Power and crew
